What Do You Need for a Productive Meeting?
Meetings can take up much time; if they’re not productive, participants can feel frustrated. They’ve had a large part of their day taken up with a meeting that wasn’t engaging or productive. You can’t blame them for feeling frustrated!
So, we’ve put together some tips to ensure that your next meeting is productive and engaging.
1. Do You Need to Have a Meeting?
Planning effective meetings start with this question—is a meeting really necessary? Everyone is busy, and an unnecessary meeting takes valuable time. That time could be better used in a different way. So, decide if your meeting is truly necessary.
In addition, consider whether your meeting needs to take place in person or via virtual meeting. It may be possible to meet over Zoom or another tool, especially if some participants work remotely. However, most of us are pretty tired of Zoom meetings, so you may want to use a phone call or email instead.
2. Include Only Participants Who Need to Be There
Nothing is worse than an overcrowded meeting. These are usually unproductive because the meetings take longer, and the discussions are rarely on topic.
What’s more, too many people sharing their ideas in a meeting can mean nothing gets done. So, be sure to determine who needs to be at the meeting and avoid inviting everyone.
3. Create & Share the Agenda Before the Meeting
A meeting agenda is crucial to a productive meeting. Creating and sharing the agenda before the meeting allows everyone to ensure that specific details are covered during the event.
Once the agenda has been determined, be sure to send it out to participants at least 24 hours before the meeting. This gives everyone a chance to add their ideas and prepare for the meeting.
4. Have the Right Technology
To ensure the meeting is productive, be sure to arrange the right technology and equipment before the day of the meeting. On the meeting day, it’s a good idea to have everything set up in advance and test each piece of equipment to see if it’s in good working order.
If you find a problem with any of the equipment, be sure this is fixed before the meeting.
5. Start & End the Meeting on Time
Time is valuable for everyone, and no one wants to waste it. It’s essential to respect participants’ time by starting and ending the meeting on time. One way to keep the meeting from going too long is to follow the agenda. You may also want to assign a timekeeper who tracks time and ensures the meeting agenda is followed.
6. Stay on Topic
Following your agenda and staying on topic also ensure the meeting is productive. It’s also a great way to start and end the meeting on time.
To help everyone stay on topic, the timekeeper can redirect participants’ attention back to the main points and ensure a reasonable amount of time is set aside for each topic discussed. Staying on topic keeps your meeting more productive and to the point.
