Tips for Planning the Perfect Event
Event planning and organising can be challenging, even for something small like a meeting with a handful of people. An even larger event is more difficult to plan! So, how do you go about event planning?
We’ve put together a quick list of tips to help you plan the perfect event. Let’s get started!
1. Start Early
The main rule is to start planning as early as possible, especially if you’re planning a large event for 500 or more participants. In that case, you may want to start about four to six months before the event.
In addition, planning early gives you time to arrange all the different tasks that must happen before the event. You’ll be able to find the right venue, arrange speakers, and more.
2. Decide the Event’s Purpose & Goals
Next, you need to determine the event’s purpose and goals. First, ask why you’re having the event. What’s the purpose of the event?
Once you’ve determined the purpose of the event, then you’ll need to determine the goals you want to accomplish with the event.
It can be helpful to set your objectives into quantifiable metrics, such as:
- Add more follows to our social media page
- Increase engagement on social media platforms
- And more
3. Establish Your Budget Early
Along with planning the meeting early, it’s also essential to determine the budget early. The budget determines the elements for the event. Having a good estimate of the budget helps with planning other parts of the event.
Here are some important aspects of the budget to consider:
- Software (such as event management software, ticketing, a custom app for attendees, and more)
4. Identify Your Target Audience
Another important factor is to consider who will attend the event. The target market can be based on the event’s purpose & goals.
Gather as much data about your target audience as possible. Each piece of data helps you pinpoint who you want to attend the event.
5. Choosing the Right Venue
Next, it’s crucial to choose the right venue for your event. You may want to consider these factors when searching for the best venue:
- Size: how many people will attend the event?
- Location: should be easily accessible to all attendees and transportation links
- Parking: ensure the venue has plenty of parking for all attendees, speakers, and more.
- Acoustics: the acoustics of the venue are important; attendees need to hear speakers and be able to take notes.
- Cost of the venue: here, it’s essential to consider all the costs for the venue. Ask for a written quote that includes all the costs. Watch out for any hidden costs and cancellation fees.
6. Create Event Branding
It’s also imperative to choose event branding that faithfully represents your company. Here, you should consider:
- Event name
- Logo, colours, typography
- Venue décor, signage, email, and more
So, there you have it! These are the tips that can assure your next event is a big success!
